Running a nationwide union on disconnected systems.
Managing a nationwide police union means handling tens of thousands of member records, recurring payments, legal statuses, internal communications, and administration across 11 regional offices — all at once. VSOA Politie was doing this through manual processes and disconnected tools, which made it hard to keep data accurate, automate financial operations, or offer a consistent experience to members regardless of region.
What the organization needed wasn't another point solution, but a secure enterprise platform capable of supporting a complex, multi-regional structure while automating the administrative work that used to eat up staff time every day.

We designed and have continuously evolved a centralized enterprise platform that manages every stage of the member lifecycle — from registration and membership administration to financial operations and internal communications. Rather than a single-purpose CRM, it combines several independent business modules into one secure ecosystem used by administrators across Belgium.
Member management
Advanced search across dozens of attributes, full lifecycle and professional-status tracking, regional organization, card generation, bulk operations, and CSV/Orbis exports.
Financial automation
SEPA payment processing, automatic contribution collection, IBAN validation, and XML generation for banking and tax reporting, with premium and benefit tracking.
Communication platform
Email campaigns, SMS and push notifications, automated birthday greetings, PDF document generation, and reusable templates.
Training management
Course assignment, certification tracking, full training history, and mass enrollment for members across regions.
Access management
A distributed permission system with 40 user roles, multi-level administration, and region-scoped access control.
Integrations
SEPA, IBAN validation, XML banking and tax reporting, 3CX, Orbis, and mobile services, all connected through a secure API gateway.
